Budgets have barely changed over the past twenty years. Whereas you used to be able to organise a full team day for €50 per person, today you pay almost that amount just for a healthy lunch, taking into account vegetarian options, allergies and intolerances.

One of the simplest ways to create a affordable team-building The best way to organise this is by bringing together several teams or departments.

The preparations for a group of 15 people often differ very little from those for a group of 60 people. As a result, the price per participant falls considerably when you bring larger groups together.

For example, in October 2025, we organised an agency day for 54 people from the FPS Health. It turned out to be a team-building exercise “Brussels has a PR problem” with a lovely lunch… All this for under 65 euros per person.

Anyone who requests quotes year after year is, in effect, paying for the preparation work each time.

Why not ask about a partnership spanning several years or involving several team days?.

This saves time for both parties and often results in a more competitive price and better support.

We therefore developed a partnership with VVSG under a framework agreement whereby we deliver several sessions for them to various groups. This results in a very attractive price.

3. Choose an affordable venue

Many people underestimate how much of the budget goes towards the venue.

In Brussels, you can easily end up paying €300 to hire a café or more than €600 for a meeting room.

Anyone looking for affordable team-building activities, so you’d be better off also taking a look at:

  • community centres;
  • municipal halls;
  • cultural centres;
  • schools;
  • sports halls;
  • or their own workstation.

This leaves more of the budget available for the activity itself.

4. Organise a team-building event together with other teams

Larger groups open up a whole host of possibilities.

For example, we organised an event for Digital Flanders a full day’s work for approximately 300 participants at Zinneke’s.

The programme consisted of a joint morning session, lunch, optional workshops in the afternoon, dinner and drinks.

By working with such a large group, the cost was kept to €75 per person (excl. VAT).

This proves that even larger organisations can budget team-building can organise without compromising on quality.

5. Opt for a hybrid approach

Not everything needs to be organised by an external agency.

A combination of internal organisation and external support is often the most cost-effective solution.

For Médecins Sans Frontières For example, we facilitated a team-building workshop in which the team worked together to create a large piece of art.

For about 30 participants, including lunch, the total budget amounted to approximately €1,500 including VAT.

That way, you only invest in the expertise that really makes a difference.

6. Don’t forget the free and local options

Not every team day has to cost money.

A few ideas:

  • walking in the countryside;
  • a city treasure hunt;
  • a group picnic;
  • cooking with colleagues;
  • a volunteer initiative;
  • a game organised by colleagues themselves.

For Iriscare For example, we organised a half-day event at a permaculture farm, featuring sustainable workshops and lunch.

For 20 participants the total budget remained limited to approximately €1.200.

This shows that Affordable team-building activities are perfectly possible if you get creative with the venue and the programme.

7. The cheapest team-building activity isn’t always the best

Who is searching for Affordable team-building, doesn’t usually go for the lowest price.

Above all, you’re looking for the best value for money.

An activity costing €15 per person that nobody remembers is ultimately more expensive than one costing €45 that strengthens teamwork for years to come.

So invest in building connections, having conversations and working together. Ultimately, that is what good team-building is all about.

  • Combine your team-building event with a staff meeting or training day.
  • Organise activities outside the peak season.
  • Choose a half-day option instead of a full day.
  • Check whether a workshop on communication, feedback or collaboration can be funded through the training budget.
  • Alternate between larger and smaller team activities throughout the year.
